Privacy Principles by Which We Operate

  • We provide business-to-business services — we do not want your personal information.
  • We do not gather any more information about you than we need to provide the services that we offer.
  • We do not want your information any longer than is needed to provide you the services that we offer.
  • We minimize the need for personal information, but we may be limited in the services we can provide without certain information.
  • We do not sell your information or in any other way use your information other than to provide services to you.
  • You have a right to know what information we gather, how we use it, and you have the right to ask us to remove it.

Information We Collect

In the routine course of scoping and providing our services, you may be asked to provide certain information, which may include:

  • Name
  • Business Phone Number (which might be a mobile number if you so choose)
  • Business Email Address

We may also gather certain anonymized data regarding web site usage, which may in turn be processed by third parties like Google Analytics. We do not use tracking cookies or pixels or any such mechanisms to follow your activities — on our site(s) or on any other.

In addition, we may also gather and analyze service-related information (such as network inventory or corporate purchasing data) which is by its very nature non-personal. Such information is only used for the purpose for which it was provided, but being non-personal it is not a subject of this Privacy Policy.

How We Use the Information We Collect

We use the information we collect for several related purposes, which include:

  • To contact you to facilitate a business transaction related to the services we offer
  • To respond to web site or in-app inquiries
  • To operate the services we provide, and to contact you to fulfill our responsibilities thereunder
  • To provide customer support
  • To facilitate payment for the business-to-business services that we provide
  • To make you aware of other relevant Rubicon or trusted business partner products and services

The information you provide to us is never shared with third parties, other than as may be explicitly required in fulfillment of the business transaction for which it was provided, or as may be required for legal or regulatory compliance purposes.

In the course of building and offering its products and services, Rubicon also leverages a variety of hosted Software-as-a-Service (SaaS) providers, each of which has its own Privacy Policy with regard to the data that we process on their platform. For information as to which providers we use, and the information that they may store, please contact us at Privacy@RubiconIT.com. Regardless, we only process data on those platforms … we never sell your data to those platforms.

Data Retention

We retain the information you provide for only as long as is required to facilitate the services that we provide. Should our business relationship at some point terminate, so will our need for your information. We may retain certain log files and other business-related details indefinitely for financial, reporting, and security auditing purposes. All other information will be promptly deleted as described in our Master Services Agreement or other such document that governs our specific business relationship. Similarly, backups and archives are only maintained for as long as is needed for data protection and service assurance purposes, and all such data is also purged once it is no longer needed to support an active service offering.

Other Things You Should Know

  • Our services are not marketed or currently offered outside the Continental United States. Access from outside the United States (via VPN or other such mechanism) is provided only under the auspices of a US-based business-to-business relationship.
  • The data we gather (personal or otherwise) may be hosted on a variety of SaaS/cloud-based providers. As such, data may be hosted in and across multiple geographies as load balancing and survivability may dictate. In the routine course of business, we cannot limit the data we process to any single geography.
  • We do not provide services to minors, as defined in any jurisdiction in which we operate.
  • Nothing about our service could be construed as a social media network.
  • Nothing about the information that we process would make it subject to the Digital Millennium Copyright Act (DMCA) or any similar intellectual property protection mechanism.
  • The information we process is not compliance sensitive, as might be defined under Sarbanes-Oxley Act (SOX), Gramm-Leach-Bliley Act (GLBA), Payment Card Industry (PCI), California Consumer Privacy Act (CCPA), Health Insurance Portability and Accountability Act (HIPAA), or Criminal Justice Information System (CJIS) standards. As such we are not governed by those regulatory frameworks.

Changes to This Policy

We reserve the right to modify this policy from time to time, as the nature of our business changes, or as operational, legal or regulatory changes may dictate. While we may make reasonable efforts to notify our customers of material changes, our current Privacy Policy is always available at privacypolicy.rubiconit.com or linked from our main website at rubiconit.com.
